Not every repetitive task needs AI. But if a process depends on reading emails, understanding documents or finding information across different systems, AI may be useful as one carefully controlled step.
Possible applications include classifying incoming requests, extracting information from PDF documents, searching internal knowledge with references to the sources, and preparing a summary or draft answer for an employee to review.
Visual Shapers can explore and prototype these solutions in combination with existing software, n8n workflows, Drupal content and API integrations. Important business rules, calculations, approvals and access permissions remain in conventional, testable software.
First we map what comes in, which decisions people make, which systems contain the information and which actions must never happen automatically. We then choose one narrow use case and test it with representative information before connecting production systems.
A useful prototype provides structured output, validation, a review step and clear handling of missing or uncertain data. When the result proves valuable, the workflow can be integrated into everyday tools, with appropriate logging and monitoring.
AI can produce convincing mistakes. Privacy, data access, traceability and fallback handling therefore belong in the design from the start. Sometimes ordinary automation is the better choice; sometimes AI and custom code work best together.
The aim is not an autonomous chatbot for every problem. It is less unnecessary manual work, while important decisions remain understandable and accountable.

Understand where information comes from, who works with it, which systems are involved and where work currently breaks down or is duplicated.
Make the problem smaller, build something useful, test it with real input and expand only when doing so clearly adds value.
APIs, custom software, n8n or AI are chosen to fit the problem. AI can help with document processing, classification, summarising or search, but only where it is better than a simpler solution.
