Automation

AI-assisted document intake (concept)

Concept for extracting, validating and reviewing incoming documents before routing data to existing systems.

01 / About this project

Illustrative concept, not a delivered customer case. The example describes a potential workflow, not an implemented or measured result.

When the inbox becomes a manual database

A small organisation may receive service requests, orders and PDF forms by email. Someone reads each message, looks up customer details, copies fields to a different application and asks for anything that is missing.

The opportunity is not to let AI answer every email. It is to turn varying documents into a consistent, reviewable first step for a real business process.

AI reads, code checks

A possible workflow starts with text extraction or OCR for scanned pages. AI classifies the request and proposes structured fields such as a reference number, date, contact details and required action.

Regular software then checks mandatory fields, recognised values and duplicate requests. Anything missing or uncertain enters a human review queue. Only approved data moves into an existing application through its API; n8n can coordinate the steps and record what happened.

Test one document type first

A first proof of concept would use representative, appropriately anonymised documents. It would measure extraction quality, manual correction effort and failure handling before any real-system connection.

AI must not independently approve purchases, issue invoices or change customer records. Permissions and business rules are explicit parts of the workflow.

Why this fits Visual Shapers

This idea combines practical automation, software and integrations with a narrowly defined AI task. The purpose is less repetitive copying and a process people can inspect, not an opaque agent making business decisions.
